FlazHost is committed to respecting your privacy rights. This Data Deletion Policy explains how you can request deletion of your personal data and email content from our platform. We provide multiple methods for you to exercise your data deletion rights.

⚠️ Important Notice:
Data deletion is permanent and irreversible. Deleted data cannot be recovered after 30 days. Before requesting account deletion, please ensure you have backed up any important information.

1. How to Request Data Deletion

1.1 Self-Service Deletion (Email Accounts & Mailboxes)

You can delete individual email accounts or mailboxes directly from your FlazHost dashboard:

Step 1: Log in to your FlazHost account
Step 2: Navigate to Mail Admin → Mailboxes
Step 3: Select the mailbox(es) you want to delete
Step 4: Click "Delete" and confirm
Step 5: Data is deleted immediately and moved to trash for 30 days

1.2 Account-Wide Deletion Request

To request deletion of your entire account and all associated data:

Option A - Online Form:
Visit https://flazhost.com/account/delete-account and complete the data deletion request form.
Option B - Email Request:
Send an email to [email protected] with the subject line:
"Account Deletion Request - [Your Email Address]"

Include in your email:
  • Your registered email address
  • Your full name
  • Account ID (if known)
  • Confirmation that you understand deletion is permanent
Option C - Support Portal:
Submit a support ticket at https://flazhost.com/support with the subject "Request Account Deletion" and provide the above information.

1.3 Identity Verification

To protect your account security, we may require identity verification before processing deletion:

  • Confirming you can access the registered email address
  • Providing answers to security questions set during account creation
  • Verification via SMS or phone call (if enabled on account)
  • Providing the last 4 digits of the payment method on file

2. What Data Gets Deleted

2.1 Data Deleted Immediately

  • Email Content: All emails, attachments, and message history
  • Mailbox Data: Folders, drafts, sent items, trash, archives
  • Contacts & Addresses: Any stored contact lists or distribution groups
  • Account Settings: User preferences, security settings, two-factor authentication
  • Activity Logs: Login history, access logs, activity records (except legal holds)
  • OAuth Tokens: Third-party integration tokens and permissions revoked

2.2 Data Deleted Within 30 Days

Deleted data remains in a secure, isolated environment for 30 days and cannot be recovered after this period. During this 30-day period, you cannot restore the data, but it is not yet permanently destroyed in case of accidental deletion or legal compliance requirements.

2.3 Data Retention for Compliance

Certain data may be retained beyond the 30-day deletion window for legal, regulatory, or operational reasons:

  • Billing Records: Tax, accounting, and invoice records (required by law, typically 7 years)
  • Legal Hold: Data subject to litigation, investigation, or legal proceedings
  • Backup Archives: Data in disaster recovery backups (retained for up to 90 days)
  • Fraud Prevention: Anonymized data used to prevent fraud and abuse
  • Regulatory Requirements: Data required by law or government order

3. Deletion Timeline

Immediate (0-24 hours): Data moved to secure deletion queue; no longer visible to you
1-7 days: Data removed from primary systems and database backups initiated
7-30 days: Data purged from all backup systems and recovery mechanisms
30+ days: Data permanently deleted and unrecoverable

3.1 Account Deletion Timeline

  1. Request Received (Day 0): Your deletion request is received and logged
  2. Verification (Days 1-3): We verify your identity and request authenticity
  3. Confirmation Email (Day 4): We send confirmation and final warning about permanent deletion
  4. Grace Period (Days 4-7): You have 3 days to cancel the deletion request if needed
  5. Execution (Day 8): Deletion process begins; data removed from all systems
  6. Purge (Days 8-30): Data purged from backups and recovery systems
  7. Verification (Day 30): Final verification that all data is deleted

4. Data We May Retain

4.1 Anonymized Data

We may retain anonymized, aggregated data for analytics, service improvement, and abuse prevention. This data cannot identify you personally and is kept separate from personally identifiable information.

4.2 Metadata

Certain metadata may be retained for system administration purposes (logs, timestamps), but this data cannot be linked to your personal identity.

4.3 Legal Holds

If your account is subject to legal proceedings, litigation hold, or government investigation, data will be retained according to legal requirements and will not be deleted.

5. Special Circumstances

5.1 Shared Accounts & Domain Admins

If you are a domain administrator deleting user mailboxes:

  • Mailbox data is deleted immediately
  • Domain records and DNS settings are retained
  • Your admin account can still be used to manage the domain

5.2 Disputed Deletions

If you dispute a deletion request made by an account owner:

  • Contact our support team immediately at [email protected]
  • Provide evidence of your data ownership or authorized access
  • If within the 30-day grace period, we may recover the data
  • After 30 days, data is permanently unrecoverable

5.3 Accidental Deletion

If you accidentally deleted data:

  • Contact support immediately at [email protected]
  • We can attempt recovery within the 30-day window
  • Recovery is not guaranteed and depends on backup availability
  • After 30 days, recovery is not possible

6. Responsibilities After Deletion

6.1 Your Responsibility

  • Back up important data before requesting deletion
  • Update any applications or systems that use deleted email accounts
  • Cancel any auto-forwarding rules or integrations before deletion
  • Notify any contacts using your email address of the deletion

6.2 Third-Party Services

If your account is connected to third-party services (Gmail, Google Workspace, etc.), you may need to separately request deletion from those services. We will revoke access, but third-party platforms have their own data retention policies.

7. Frequently Asked Questions

Can I undo a deletion?

Within 30 days of deletion, data may be recoverable. Contact support immediately at [email protected] if you need to recover deleted data.

Will my domain be deleted if I delete my account?

No. Your domain registration remains active until it expires. If you want to delete the domain, you must separately cancel domain registration.

How long does account deletion take?

The full account deletion process typically takes 30 days (see timeline above). Your data is inaccessible immediately but not permanently purged for 30 days.

Will I be refunded if I delete my account?

Refunds are not provided for prepaid services or partially used billing periods. Account deletion takes effect at the end of your current billing cycle.

Can I request deletion of specific emails only?

Yes. You can delete individual emails or entire mailboxes from the FlazHost dashboard. See Section 1.1 for self-service deletion instructions.
